If you are looking for a CRM without per seat pricing, you already know the trap. You go to add one more login, for a new hire or a client who wants to see their own pipeline, and the platform quietly bumps your bill. Growing your team is supposed to be a good thing. Per-seat pricing turns it into a tax.

I lived this for years on Dubsado. The base plan covered me and a few people, but past those included seats the bill jumped to the next tier, and every separate client brand I ran was another ten dollars a month stacked on top of that. So the moment I wanted to bring a VA in, or spin up a brand for a new client, I was doing math in my head about whether that person or that project was worth the add-on. That is a stupid thing to have to think about.

Per-seat pricing charges you for succeeding

Here is what nobody says out loud. Seat pricing is designed to grow exactly when you can least afford it.

You land three new clients, you hire two people to service them, and your CRM bill goes up before a single one of those clients has paid you. The tool takes its cut of your growth up front, on the promise of revenue you have not collected yet. It is a partner that gets paid first and does none of the work.

And it changes your behavior in bad ways. I used to share one login between people because adding seats felt too expensive. That is a security mess and I knew it, but the pricing pushed me into it. When the tool makes the cheap option the dumb option, the tool is the problem.

What I actually wanted

I wanted to hand a login to anyone who needed one and never think about it again.

My whole team, in. Every client who wanted a window into their own account, in. A contractor I brought on for one project, in, and then gone, with no line-item to cancel. Seats should be free because a login costs the software company basically nothing to create. They charge for it because they can, not because it costs them anything.

How I fixed it

I moved to a CRM I own the source code for, and the concept of a seat just disappeared.

When you own the code, there is no vendor sitting on the other side counting your logins and billing you per head. You create as many users as you want because you run the thing. My team, my clients, my contractors, all in, and the number in that user list has zero effect on what I pay. My cost is the hosting, which does not care whether there are three users or three hundred.

That is the part that took me a minute to believe. I kept waiting for the bill to move when I added people. It never did, because there is no one to send it.

The honest tradeoff

I am not going to pretend this is free money with no strings.

You own it, which means you set it up and you run it. That is a real responsibility and its not for everyone. If you are a solo operator who will never have more than your own login, per-seat pricing might never bite you hard enough to bother switching, and thats a fair call to make.

But if you are an agency, and every hire and every client login makes you flinch at your CRM bill, you are paying a tax on your own growth. There is a version of this where you stop flinching, because seats are just free.

Count the seats you skipped

Go count how many seats you are paying for right now, and how many people you did not give a login to because it would have cost extra. That second number is the real one. Thats the growth the pricing talked you out of.
